A PPSX is a presentation set to start the show

A PPSX file is a PowerPoint Show. Microsoft defines it as a presentation that always opens in Slide Show view rather than Normal view. It belongs to the XML-based Office Open XML family introduced with Office 2007; it is not a video and it is not a folder of slide pictures. The package can contain slides, layouts, themes, fonts, images, audio, video, notes, and instructions about the order in which slides appear. The extension changes the default opening action, so double-clicking normally starts the show rather than showing an editing canvas. Open it with File > Open in PowerPoint when inspection or editing is needed. A PDF is useful when the needed result is a fixed document that can be viewed without PowerPoint, not a show that responds to timing or clicks.

That opening behavior can conceal a useful review step. Before publishing, open the show in PowerPoint's normal editing view and look at the left thumbnail pane. A hidden slide is still stored in the PPSX, but PowerPoint marks it and skips it during the ordinary slide show. That can be deliberate: a presenter may keep an answer slide ready for questions. It can also be an accident left from an earlier draft. Decide whether a reader of the PDF needs that page; do not assume that a PDF made from a show has the same slide set as the show that was presented.

PDF records pages instead of presentation instructions

Exporting does not change the PPSX into another editable presentation. PowerPoint draws the chosen slide, handout, notes-page, comment, or outline view as PDF pages, where the layout is frozen. That is why the recipient can see the page without PowerPoint but cannot select a slide object and edit it as a presentation. A timed animation, trigger, mouse-over action, or custom-show branch is an instruction for PowerPoint's player, not a sequence that a PDF page can run. An embedded video can leave a visible image on the page, but the PDF should not be treated as a replacement for its playback. The export also cannot recover detail from an already low-resolution image or substitute a missing font with the exact original design. Keep the PPSX whenever the slide sequence, media, or editable artwork remains important.

What the fixed-page copy gains and loses

• Simple viewing: a PDF reader is enough; the recipient does not need a PowerPoint license or the same version.
• Stable printing: layout is fixed before it reaches the printer, unlike a slide that is still being rendered by a presentation app.
• Handout choices: Windows PowerPoint can publish several slides per page, notes pages, comments, and a chosen range.
• No running show: transitions, animation timing, triggers, and normal slideshow navigation do not become live PDF behavior.
• Quality choice: Standard export favors print quality; Minimum size reduces an attachment but can be a bad trade for small text inside screenshots.

Compatibility has important platform limits

Desktop PowerPoint versions covered by Microsoft's current PDF instructions include Microsoft 365, PowerPoint 2024, 2021, 2019, and 2016. On Windows, File > Export > Create PDF/XPS exposes options for the current slide, a numeric range, hidden slides, comments, document properties, and slides-per-page handouts. PowerPoint for Mac can export PDF and choose High, Medium, or Low print quality, but Microsoft says that its PDF export does not offer notes, handouts, hidden slides, or smaller-file options. Microsoft also documents that links are not preserved in PDFs made by PowerPoint for Mac. A presentation saved to OneDrive and downloaded as PDF through PowerPoint for the web preserves hyperlinks and accessibility. PowerPoint for the web can edit PPSX, while it does not use a PDF as an editable presentation file.

The platform difference matters when a delivery checklist says both "include speaker notes" and "keep every web link clickable." Windows is the direct route when the required output is notes pages, a six-slides-per-page handout, or a PDF that includes slides hidden from the show. On a Mac, changing the print-quality preference to High, Medium, or Low does not add those missing choices. For link-heavy material, the documented alternative is to save the presentation to OneDrive, open it in PowerPoint for the web, and use Download as PDF. Open the finished file in a PDF reader and test at least one ordinary web link and one link to another slide, rather than treating a successful download as proof that the navigation survived.

Font checks also belong before export, not after a recipient reports changed line breaks. PowerPoint can embed custom fonts in the presentation, and Microsoft says this can help online PDF conversion avoid substitution. The setting is under File > Options > Save, in the "Preserve fidelity when sharing this presentation" area. "Embed only the characters used" saves space but limits later editing with that font; "Embed all characters" is the safer option when someone else will edit the show. Embedding is not guaranteed: a TrueType font can be marked non-embeddable by its creator. Microsoft recommends OpenType or TrueType where possible and advises avoiding PostScript .PFB and .PFM fonts for this feature.

PPSX and PDF at a practical glance

Failures that are really export settings

A slide that looks missing in the PDF may be outside the selected range or be a hidden slide that was not included. A PDF with no speaker notes may simply have been exported as Slides instead of Notes Pages; on macOS, notes-page export is not available through the PDF route. A link that works in the original but not in a Mac-created PDF matches Microsoft's documented limitation, so test the output rather than rebuilding the show. When a font changes, the exporting computer may not have the font needed to render the original; PDF export cannot invent it. If a page becomes too soft after Minimum size export, repeat the export at Standard and compare one detailed slide. For a timed, narrated, or kiosk-like presentation, retain the PPSX or make an MP4 as well, because neither a static PDF nor a renamed file can replay the show.

A blank audio or video area in the original show is a separate compatibility issue, not proof that the PDF converter failed. Microsoft says media playback can fail when the computer does not have the codec used by an inserted file. In the desktop app, File > Info > Optimize Compatibility is the pre-send check for media; if it recommends an upgrade, PowerPoint updates and embeds the media in its newest format, then the check should be run again. This can make the PPSX more reliable as a show, but it does not turn its soundtrack or moving image into live PDF content. Supply an MP4 or the original PPSX beside the PDF when the video or audio carries meaning.

Use a short visual check that catches the errors a page count cannot. Compare the PDF and the editing view at the first, a text-heavy, an image-heavy, and the last slide. Confirm the selected numeric range, then count whether a deliberately hidden slide is present or absent as intended. Zoom into a slide with small labels or a screenshot at 100 percent; that is where Minimum size damage is most obvious. Search the PDF for a distinctive heading to see whether text was preserved as selectable text, and activate a representative link. Finally, check the PDF Properties panel if the document is being sent outside the organization: Windows export can include document properties and document-structure tags, so those options deserve an intentional choice rather than a default click.

Questions about distributing PPSX pages

Does changing .ppsx to .pdf convert it?
No. The formats have different internal structures; a PDF must be created by an exporter.

Will the PDF keep narration and animation?
No. It is a page document. Use the PPSX or export a video when those are required.

Can six slides fit on one PDF page?
On Windows, choose Handouts in the PDF/XPS Options dialog and select slides per page. Check a page with a diagram before sending it, because this is a layout choice, not a scale-free copy of the slide.

Why is an expected slide absent from the PDF?
